Wedding Planners Timetable & Tips

1. Your first step is to secure your banquet room by paying the required deposit and signing a letter of confirmation. If you wish to add guest rooms, make those arrangements directly with the hotel

2. Up to six months before the reception start to plan your menu with the following in mind:

  • Do you want to plan a plated menu (maximum of 3 entrees choices) or a more casual buffet menu?
  • If you plan to have a cocktail reception with hors d'oeuvres, what do you wish to serve?
  • After 5:00 p.m. allow at least three pieces of each hors d'oeuvre per person.
  • You may want to add a carving station, pasta station or seafood station to round out the menu if you are serving hors d'oeuvres close to the dinner hour.
  • What beverages do you wish to serve before and after dinner?

3. One month before the reception:

  • Finalize the menu with the Catering Department.
  • Finalize the set up of the ballroom.
  • Provide the hotel with the time of wedding cake delivery.
  • Provide the hotel with the time the DJ or band will set up their equipment.
  • Provide the hotel with the time florists and/or decorators will arrive.
  • Remember that your banquet room will be set up four hours prior to the event.
  • Sign contract for food, beverage and set-up details.

4. One week before the event:

  • Provide a final head count to the hotel.
  • On the date specified on the contract provide full payment to the hotel.

5. Two days prior to the reception you may:

  • Bring any items you wish for the hotel staff to place in the banquet room for you, including special toasting glasses, cake knife, table favors, pictures, portrait, and so on.
